Phones, vehicles, equipment — who has what should not be a debate

Every asset is assigned to an employee, and handovers and returns are signed on mobile. An exit does not close while an employee still holds company property.

What this runs on today

  • Handover sheets
  • the fixed asset spreadsheet
  • verbal returns at exit

Asset tracking

It all comes together in one module.

Entered from the same screen, tracked from the same place.

Who it is for: Companies issuing equipment to field teams, running a vehicle fleet or holding a large device estate
Why it is needed

What happens without this module

The three situations we run into most often. If one of them sounds familiar, we have something to talk about.

  1. 01

    The inventory is on paper

Handover sheets sit in a folder; who holds which device is only learned by asking.

  2. 02

    Returns are missed at exit

The phone or the keys a leaver was holding are noticed only after they have gone.

  3. 03

Loss and damage have no owner

When a device disappears, when it happened and who held it cannot be established, and responsibility hangs in the air.

What it does

What the module covers

Every item is a real screen or flow in the product; we walk through them one by one in the demo.

Asset inventory

Devices, vehicles, uniforms, keys and tools are held in one inventory with serial numbers and purchase details.

Assignment to a person

Each asset is bound to an employee, and everything a person holds is visible in their employee file.

QR handover and return

The asset label is scanned with a phone; the handover or return is recorded in seconds.

Signed handover note

The handover document closes with a mobile signature; the note stays with the employee and in the file.

Maintenance and warranty

Scheduled maintenance, inspection and warranty expiry dates generate reminders.

A lock at exit

If the leaver checklist shows an outstanding asset, the process does not close; the unreturned item stays as a warning.

How it works

The cycle in four steps

Once it is set up, every period runs in the same order, and most of the steps happen on their own.

  1. Step 01

    The inventory is defined

Assets are entered with their category, serial number and cost.

  2. Step 02

    The asset is issued

It is bound to an employee, the handover note is signed and posted to the file.

  3. Step 03

    Use is tracked

Maintenance, damage and location changes accumulate on the same record.

  4. Step 04

    It is returned

The return is scanned in; anything still outstanding at exit stays on the list.

Data flow

A link in the chain, not an island

The same data is entered once. What this module takes in and produces is below — you do no extra work to move data between modules.

In the field

How it is used, and under what constraints

Not promises with numbers, but real setups. Let us go into the one closest to yours in the demo.

  • Logistics

    Vehicles and handhelds

A driver holds a vehicle, a phone and a handheld terminal. Returns and handovers are scanned at shift change, so no device goes unaccounted for.

  • Construction

    Site equipment

Protective equipment and hand tools are issued per site. When the project ends, the return list comes off one screen.

  • Technology

    A remote team

Laptops and monitors ship without passing through the office. The handover note closes with a mobile signature and the return runs off the same list at exit.

FAQ

Frequently asked about Asset tracking

Yes. Your inventory list is imported in bulk and current holdings are matched to employees as the opening position.

A demo is not a presentation: we build your scenario and run it on screen. You leave with a written proposal covering scope and timeline.
