Contracts should not travel between cities for a signature

Contracts, pay review letters, privacy notices and consent forms reach the employee’s phone, get signed, and post straight into the employee file. Whoever has not signed stays on the list.

What this runs on today

  • Contracts sent by courier
  • signature sheets
  • documents scanned and re-uploaded

Why it is needed

What happens without this module

The three situations we run into most often. If one of them sounds familiar, we have something to talk about.

  1. 01

    Paper travels for a signature

The document goes from head office to the branch, from the branch to the employee and back again. One signature takes days.

  2. 02

Nobody knows who has not signed

After a bulk send, the stragglers are chased one by one and the list is ticked off by hand.

  3. 03

    Weak evidence

A scan of the wet-ink copy sits in the file, but when it was signed and which version of the text it was cannot be proven separately.

What it does

What the module covers

Every item is a real screen or flow in the product; we walk through them one by one in the demo.

Signing from the phone

The document arrives as a notification, is read and signed, and returns to the sender immediately.

Bulk sending

The same text goes to hundreds of employees at once, each copy generated with their own details.

Audit trail

Sending, viewing and signing are recorded with timestamps, and the version of the text signed is bound to the document.

Straight into the file

The signed document writes directly into the employee record — no scanning, no re-upload.

Reminders and tracking

Automatic reminders go to anyone who has not signed, and the outstanding list stays on one screen.

Multi-party approval

Flows can be defined where the employee, the manager and HR sign in sequence.

How it works

The cycle in four steps

Once it is set up, every period runs in the same order, and most of the steps happen on their own.

  1. Step 01

    The document is prepared

A template is chosen and employee details are filled in from the employee record.

  2. Step 02

    It is sent

To one person or a whole list; the employee is notified in the app.

  3. Step 03

    It is signed

The text is read and signed in the app, and every step is timestamped.

  4. Step 04

    It is filed

The signed document posts to the employee file and both parties keep a copy.

Data flow

A link in the chain, not an island

The same data is entered once. What this module takes in and produces is below — you do no extra work to move data between modules.

How it is used, and under what constraints

Not promises with numbers, but real setups. Let us go into the one closest to yours in the demo.

  • Retail

    Bulk pay review letters

At review time the letters go to every branch in one send. Whoever has not signed stays on the list instead of being chased by phone.

  • Logistics

    A driver on the road

The driver signs from their phone mid-route, and the document posts to their file without waiting to reach head office.

  • Hospitality

    The seasonal intake

A large group starts at once. Contracts, privacy notices and consent forms are all signed in the same flow.

FAQ

Frequently asked about Mobile signature

The flow records the version of the text signed, the person who signed it and the moment of signing together. If you have document types that require a qualified electronic signature or registered electronic mail, the flow is built around those tools; we agree which document takes which method during setup.
